Recruiting CRMs: use the one you own, or buy another?
17 platforms, from the CRM already inside your ATS or HCM suite to standalone CRMs that sit on top of it. Check whether a separate CRM would pay off, filter to your ATS, and compare up to three side by side. No vendor paid to be here, rank higher or be described favorably.
Do you need a separate CRM?
Many ATS platforms and HCM suites now include CRM features, so a team may already license one. Whether a separate CRM adds anything depends on how much pipeline work there is and who would run it. Answer what you know; a summary of your answers, the capabilities they point to and your question list build below.
What your answers show
Answer at least two questions under "What you need it for" to see a summary.
Questions to ask, by who answers them (19)
Questions behind the gaps you flag are marked Priority and move to the top.

- Show one pipeline being used to fill the same role twice, with the second hire's source tracked. Repeat hiring
- Run a search for one of our hardest roles live: where do the profiles come from, and how many are already in our database? Hard-to-fill roles
- Show an event from invitation to check-in to follow-up campaign, and which parts cost extra. Events and campus
- Show an employee and an external prospect matched to the same role. What does the employee see? Internal talent

Legal and privacy
- Which past candidates can we legally contact again, and for how long? Data quality

Five kinds of CRM
2025–26 reshaped ownership: SAP bought SmartRecruiters and now points its recruiting future there, Workday bought Paradox, Harver bought Symphony Talent, Clinch is now sold as PageUp Clinch under EQT, and Phenom made three acquisitions in 2026. Ownership changes roadmaps, so it's on every profile below.
The CRM features in your applicant tracking system: pools, campaigns and events on the same record as applications. Often already licensed and underused; check which tier or module turns on automation.
Greenhouse CRM · Lever · Ashby · iCIMS CRM and CXM · Jobvite · SmartRecruiters SmartCRM
CRM modules inside Workday, SAP SuccessFactors and Oracle. One data model with the HCM, but campaigns, events and AI are often separate licenses.
Workday Candidate Engagement · SAP SuccessFactors Recruiting: Candidate Experience · Oracle Recruiting CRM
A sourcing-first CRM that sits on top of your ATS: outbound sequences, AI sourcing and rediscovery for recruiters who hunt.
Talent intelligence platforms with a CRM inside: skills-based matching, rediscovery and internal mobility across your workforce, usually on top of your ATS.
Recruitment marketing CRMs: career sites, employer brand, campaigns and events, usually layered on a suite ATS.
Platform profiles
Every profile separates AI that is in production from AI that is announced, beta or roadmap, and every claim links to its source. Vendor-affiliated sources are labeled.
Greenhouse CRMCRM inside an ATSPrivate (Greenhouse Software)
Typical use: Teams hiring mainly professional roles that want CRM inside a structured-hiring ATS, including campus and events.
Independent. Completed its Ezra AI Labs acquisition in May 2026 and launched an 'Orchestrated Hiring Ecosystem' on October 15, 2026, linking sourcing, voice AI interviewing and MyGreenhouse job-seeker profiles.

- ISO/IEC 42001 plus an independent Warden AI bias audit of Talent Matching
Watch-outs
- Email automation, texting and contact lookups need Plus or Pro, or Sourcing Automation seats on Core

AI governance evidence
ISO/IEC 42001 certified (February 2026). Warden AI independently audits Talent Matching for bias, with results on a public dashboard.
How it's priced
Tiered (Core, Plus, Pro), quote-based. CRM basics and one event on Core; Sourcing Automation, email automation, lookups and texting on Plus or Pro, or Sourcing Automation as a per-seat add-on on Core.
- 'CRM included' on Core means a prospect database without automated outreach
- Event credits and per-seat Sourcing Automation can force a mid-contract tier upgrade
Implementation
Delivery: Greenhouse onboarding plus your own admin configuration.
Design pools, stages, CRM permissions and Sourcing Automation seats first, because seats gate campaigns.
Ask in the demo
- On our quoted tier, show a three-step nurture to a prospect pool. Who needs a Sourcing Automation seat?
- How will the closed-beta Sourcing product feed our pools, when is it generally available, and is it priced separately?

How it's priced
CRM and CXM are separately licensed modules on the ATS; CXM includes the AI Sourcing Agent. Texting, digital assistant, career sites and video are add-ons. Quote-based.
- Buying 'CRM' and finding the AI agent and automation are CXM-only
- Multichannel reach is priced as separate modules, so the CRM line understates the full stack
Implementation
Delivery: iCIMS professional services.
Treat it as a recruitment marketing build: pipelines, talent-network forms, campaign content and ATS rediscovery all need owners.
Ask in the demo
- Run the AI Sourcing Agent on one of our requisitions: which sources does it search, and what do we lose on CRM versus CXM?

Two-way ATS field and stage mapping, contact migration and skills-taxonomy calibration drive the effort, plus moving off retiring features.

The 13-question CRM RFP bank
Questions to see how campaigns would run day to day, not only in a demo.
- Show a past applicant from a year ago being found, added to a campaign and tracked to hire. Count the clicks.
- Which CRM features are in our quote, and which (texting, events, career site, AI matching) are add-ons, seats or consumption?
- How does the CRM sync with our ATS: which records, in which direction, how often, and which system wins a conflict?
- How are consent, opt-outs and retention handled by country, and can we export proof of consent for one person?
- Which AI features rank, match or contact candidates, and where is the independent bias audit for each?
- Which AI features are generally available in our tier today, versus beta, preview or roadmap?
- Where do enriched contact details come from, and can we switch each source off?
- How many of your customers have more than half their recruiters active in the CRM every week?
- Which campaign templates, content and playbooks are included, and who builds our first campaigns?
- How is source of hire attributed when a prospect touched three campaigns and an event?
- What happens to our talent pools, campaign history and consent records if we leave: format, timing, cost?
- What did your last three price increases look like for existing customers at renewal?
- What's on your CRM roadmap that is dated and committed, versus directional?
How we review
- No vendor pays. No sponsorships, affiliate links or paid placement, and no vendor reviews its profile before publication.
- No recommendations. We describe what each platform documents. We don't rank platforms or tell you which to choose: the finder only shows which platforms match the filters you pick.
- Production versus promise. AI is listed as "in production" only when the vendor says it is available; everything else is labeled announced, beta, preview or roadmap with its date.
- Capabilities. Ratings describe the CRM as sold in its CRM tier or module. "Native" means built in; "partial or add-on" means a further module, a partner or limited depth; "not documented" means we found no published evidence, so ask: it may exist. What needs an extra license is in each profile's pricing and cost traps.
- AI certification. "Certified" means an independent body certified the vendor's AI management (such as ISO/IEC 42001 or TrustArc). "Partial" means a published independent bias audit, or a certification whose scope doesn't name the product. Claims without published evidence count as none found.
- ATS integrations. Listed only when we found them on a marketplace, partner or help page, not from a vendor's "integrates with every ATS" claim.
- Implementation. We don't publish timelines. They depend on your campaign capacity, data, consent and ATS sync more than on the platform, so the Step 1 check shows those drivers and the questions that expose them.
- Pricing. We describe how each vendor charges and where costs grow, not list prices, because enterprise prices are negotiated and change.
- Freshness. Every profile shows when it was verified. We re-verify quarterly and after major vendor news. Spot something out of date? Tell us and we'll fix it with a note. Every material change is in the change log.
